We are the Association of Data Protection Officers (“ADPO”) (“our”), (“us”) (“we”), a not-for-profit organisation based in Guernsey, Channel Islands. Our principal place of business is at ADPO, C/O Midshore Consulting, Trinity Square Centre, Upper Mansell Street, St Peter Port, Guernsey, GY1 1LY. For the purpose of the Data Protection (Guernsey) Law, 2001 (“Law”), we are the data controller.
This privacy policy (together with our terms of use and any other documents referred to on it) sets out the basis on which any personal information we collect from you, or that you provide to us (“personal information”) will be processed by us.
By accessing, browsing or otherwise using our site, (“our site”), you accept this privacy policy, and the practices described therein, without limitation or qualification.
Please read the following carefully to understand our views and practices regarding your personal information and how we will treat it.

1 What personal information do we collect?

1.1 We may collect and process the following personal information:

1.1.1 based on the data you provide us, when you: register your interest; apply for ADPO membership either by completing an online form on our site (such as the ADPO membership application form) or by contacting us by phone, email or otherwise; report a problem with our site; and contact us to provide feedback on the service or make an enquiry.

1.2 The personal information you give us in paragraph 1.1.1 may include:

1.2.1 your name and contact details (including telephone number, home address and email address) and your place of work;

1.2.2 billing information (including delivery address and payment details). We reserve the right to request additional evidence or proof of billing information where we think this is necessary;

1.2.3 website registration credentials (including username and password); and

1.2.4 correspondence and communications between us and you.

1.3 By giving your information to us, you confirm that all information provided it, at any time, true, accurate and complete.

1.4 You must not provide information about anyone else unless you have their permission to do so.

1.5 We may also automatically collect the following data about you each time you visit our site (which may be obtained by the use of cookies – described in paragraph 2 below):

1.5.1 technical information, including the Internet protocol (IP) address used to connect your computer to the Internet, your login information (including username and password), status message given, request header, URL browser type and version, language (via Browser) time zone setting, browser plug-in types and versions, location, ISP operating system and platform, device category type and device info (if appropriate);

1.5.2 we may also collect demographic data (such as age and gender).


2 How do you use cookies?

3 Why do we need your personal information?

We may use your personal information for the following reasons:

3.1.1 to administer our site and for internal operations, including troubleshooting, data analysis, testing, research, statistical and survey purposes;

3.1.2 to assess, operate and improve our site to perform the services for which ADPO are responsible;

3.1.3 as part of our efforts to keep our site safe and secure;

4 Will we share your personal information with anyone else?

4.1 We may also disclose your personal information to:

4.1.1 analytics and search engine providers that assist us in the improvement and optimisation of our site including Google analytics and Webmasters tools;

4.1.2 If we are under a duty to disclose or share your personal information in order to comply with any legal obligation, or in order to enforce or apply our terms of use terms of use and other agreements; or to protect the rights, property, or safety of ADPO, our members, or others.

4.2 We will only use your personal information for direct marketing purposes, where we have received your consent. To the extent that we use your personal information or permit carefully selected third parties to use your personal information, it will only be to provide you (by post or email) with information about products and services which may be of interest to you and which are relevant to your membership.

5 Where do we store your personal information?

5.1 The data that we collect from you will be transferred to, and stored at, a destination within the European Economic Area (“EEA”). It will also be processed by staff operating outside the EEA who work for us or for one of our suppliers. This includes staff engaged in, among other things, the fulfilment of your membership, the processing of your payment details and the provision of support services. By submitting your personal information, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

5.2 All information you provide to us is stored on our secure servers. Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

5.3 We take steps to ensure that your personal information is protected against unauthorised loss or disclosure. Your connection to our website is fully encrypted by a 256bit SSL (Secure Sockets Layer) certificate over HTTPS (Hypertext Transfer Protocol over SSL), details of our certificate can be found .here. Although we will do our best to protect your personal information, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

5.4 We do not knowingly collect information about anyone under 18 years of age.

5.5 Our site may, from time to time, contain links to and from the websites of other affiliates or partners. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal information to these websites.

6.1 In accordance with applicable law, users of our site may have the right to:

6.1.1 access the personal information that we hold about you;

6.1.2 request that we correct, amend or update your personal information;

6.1.3 request that we stop using your personal information altogether.
